# Working with clients

> Run job searches and applications on behalf of clients, ask them to approve each application, and share a progress report.

Career coaches, recruiters and agencies can use Hiresweep to search and apply for jobs on behalf of their clients. Each client gets a separate workspace with their own resumes, applications, searches and apply profile. You can ask a client to approve every application before it is sent, and share a read-only report of their progress.

<Info>
  Working for clients needs an operator plan: **Solo** (5 clients), **Studio** (20 clients) or **Agency** (50
  clients). See [Plans and usage](https://docs.hiresweep.com/guides/plans-and-usage#operator-plans).
</Info>

## Add a client

<Steps>
  <Step title="Open Clients">
    Select **Clients** in the dashboard sidebar.
  </Step>
  <Step title="Select Add client">
    Fill in the client's **Name**, **Email** (approval links are emailed here), **Phone** and **Notes**.
  </Step>
  <Step title="Choose whether they approve applications">
    Turn on **Approve each application** if the client must approve every application before it is sent.
  </Step>
</Steps>

Each active client takes one seat. The **Client seats** meter on the **Clients** page shows how many you are using.

## Work for a client

The **Working for** switcher sets whose workspace you are in: **My own**, or one of your clients. On wide screens it sits at the top of the page; on smaller screens it is in the account menu at the bottom of the sidebar. It changes what you see in **Overview**, **Discover**, **Applications**, **Resumes** and **Settings → Apply profile**.

Pick the client, then work as you would for yourself:

1. Import or build the client's resume in **Resumes**.
2. Fill in the client's [apply profile](https://docs.hiresweep.com/guides/setting-up-your-apply-profile).
3. Find jobs in [Discover](https://docs.hiresweep.com/guides/discovering-jobs), or add job links in [Applications](https://docs.hiresweep.com/guides/tracking-job-applications).
4. Tailor and [apply](https://docs.hiresweep.com/guides/applying-to-jobs).

Applications you create for a client show the client's name as a badge.

## Ask the client to approve an application

For a client with **Approve each application** turned on, Hiresweep won't send an application until the client approves it.

<Steps>
  <Step title="Get the application ready">
    Choose the resume to send, tailor it if you want, and write a cover letter.
  </Step>
  <Step title="Request approval">
    In the **Client approval** card on the application, select **Request approval**. Hiresweep emails the client a
    link. While you wait, select **Copy link** to send it another way, or **Ask again** to send a fresh one.
  </Step>
  <Step title="Wait for the decision">
    The card shows **Waiting** until the client decides, then **Approved** or **Declined** with any comment they
    left.
  </Step>
</Steps>

The client doesn't need a Hiresweep account. The approval page shows:

- The job and how well the resume matches it.
- The resume that would be sent.
- What was changed for this job, with a note that nothing was invented.
- The answers the application form would get.

The client selects **Approve** or **Decline**, with an optional comment. They can decide once.

<Note>
  An approval link lasts 7 days. When it expires, the card shows **Expired**; select **Request approval** to send a new
  one. If you change the resume or the form answers after the client approved, ask again: the approval covers what
  they saw.
</Note>

## Share a progress report

Open a client from **Clients** and find **Share with the client**.

- **Create link** makes a read-only report link. **Copy link** copies it.
- The report shows how many applications are tracked and sent, how many reached interviews and offers, and a list of the applications.
- **New link** replaces the link, so the old one stops working. **Turn off** disables the report.

## Manage clients

On a client's card:

- **Edit** changes their details and the approval setting.
- **Archive** frees the seat and pauses their repeating search. Archived clients are hidden; select **Show archived** to find them, and **Restore** to bring one back.
- The links open the client's **Applications**, **Resumes** and **Report**.

## Allowances

Operator plans have one monthly allowance shared across all your clients, sized by the plan's client seats: for each seat, 40 applications (up to 8 a day), 150 AI actions and 20 job searches (up to 4 a day). See [Plans and usage](https://docs.hiresweep.com/guides/plans-and-usage#operator-plans).
