This Privacy Policy explains what personal information Hiresweep collects, how we use it, who we share it with, and the choices you have. “Hiresweep”, “we” and “us” mean the company named below, which is responsible for your information. It applies to the website at hiresweep.com, the Hiresweep app, and the Hiresweep browser extension (together, the “Service”).

The short version

  • We use your information to build your resumes, find jobs that fit them, track your job applications and, when you ask us to, fill in and submit application forms for you.
  • We do not sell your personal information, and we do not use it for advertising.
  • We share it only where the Service needs to: with the AI provider that processes your request, with the employers you choose to apply to, with our payment processor, and with the service providers that host and run Hiresweep.
  • You can delete your account at any time. Deleting it removes your data from Hiresweep and your customer record at our payment processor.

Information we collect

Account information

When you create an account we store your name, email address, username, and optional profile picture. If you sign in with Google, GitHub, LinkedIn or another sign-in provider, we store the identifiers and tokens that provider gives us to link your login. We never see your password for those providers. To keep your account secure we store session records (including IP address and browser user agent), email verification and password reset codes, and, if you turn them on, your two-factor authentication secret, backup codes and passkeys. Passwords are stored only as a one-way hash.

Resumes and files

We store the resumes you create or import: everything you put in them, such as your contact details, work history, education, skills and photo, along with design settings, notes and any files you upload. If you import a resume from a PDF or Word file, we read that file to turn it into an editable resume. If you make a resume public, anyone with the link can see it. You can protect a public link with a password. We ask search engines not to list public resumes. For public resumes we count views and downloads, without recording who viewed them.

Job postings and applications

When you add a job, we store the posting’s address and the details we read from it (title, company, location, salary range and description). For each application we store its status, your notes, match scores, the tailored copy of your resume, and the answers in your apply profile (for example phone number, location, work authorization, sponsorship needs, salary expectation, notice period, profile links and saved answers to common questions). When Hiresweep fills or submits an application form, we keep a record of that run: the form’s address, the questions it asked, the answers that were filled in, what the employer’s site said after you submitted, a screenshot of the form, and a log of the steps taken. We also keep general notes about how a site’s form works (never your own data) so later applications to that site go more smoothly. When you search for jobs with Job Discovery, we store the job titles suggested for your resume (as you edit them), the filters you choose (such as location, remote and how recent), the progress of each search, and the jobs it found: each job’s link, title, company, location, a short excerpt of the listing, a match rank, and whether you added or dismissed it. Some application forms ask optional questions about things like demographics, disability or veteran status. Only give Hiresweep such answers if you want them sent to the employer you are applying to.

AI conversations

When you use the AI agent or AI features, we store your conversations, the attachments you add, the changes the agent suggests and the results of resume analyses, so you can come back to them.

Billing information

Payments are handled by Stripe through our billing provider, Autumn. We store your plan, your allowances and usage (for example how many applications you have submitted). Your card details go directly to Stripe; we never see or store your full card number.

Information about your clients

If you are a career coach, recruiter or agency using Hiresweep for other people (“clients”), you may give us each client’s name, email address, phone number and your notes about them, along with their resumes, apply profile and applications. When you ask a client to approve an application, we email them a link. On that page, which needs no account, they can see what the application will send, approve or decline it, and leave a comment, and we store their decision. You can also give a client a read-only link to the progress of their applications. We handle client information on the operator’s behalf and following the operator’s instructions. If you are a client, the operator who added you decides what is collected about you, so please send requests about your information to them first. You can also contact us, and we will help or pass your request on.

Information from the browser extension

The Hiresweep Chrome extension is optional. If you install it:
  • LinkedIn jobs. When a Hiresweep page asks about a LinkedIn job, the extension reads that job in your browser to find the employer’s own apply link. It checks whether you are signed in to LinkedIn (it checks that the li_at cookie exists, without reading its value) and uses LinkedIn’s JSESSIONID cookie, which LinkedIn requires for its own requests, only in a request to www.linkedin.com for that one job. Only the employer’s apply link is sent to Hiresweep. No cookie, password, browsing history or LinkedIn profile data is sent to Hiresweep or anyone else.
  • Filling forms in your browser. When you choose to fill an application in your own browser, the extension opens the employer’s form in a new tab and reads the questions on that form (each field’s label, type, options and whether it is required) so Hiresweep can draft your answers. It then types the answers and attaches your resume in that tab. It reads nothing from any other tab.
  • Storage. The extension stores only the address of the Hiresweep you last used and, until you close the browser, the tabs it opened for filling.

Technical information

Our servers keep standard logs (IP address, browser type, the pages and API requests made, errors and timestamps) to run the Service, prevent abuse and fix problems. We do not use third-party analytics or advertising trackers.

How we use your information

We use your information to:
  • provide the Service: store and render your resumes, export them, find jobs for you, track your applications, and run the AI and applying features you ask for;
  • fill and, when you tell us to, submit job applications on your behalf;
  • process payments and keep track of plans, allowances and credits;
  • send you account emails such as email verification, password reset and important notices about the Service, and, if you are an operator, send your clients the approval requests you ask us to;
  • keep the Service secure, prevent fraud and abuse, enforce limits, and fix errors;
  • comply with the law.
We do not sell your personal information, share it for cross-context behavioral advertising, or use your resume or application data to train AI models.

How your information is shared

We share personal information only in these cases:
  • AI providers. When you use an AI feature (for example importing a resume, tailoring, the AI agent, match scoring, suggesting job titles and picking matching jobs for Job Discovery, or filling a form), the content needed for that request, such as your resume, the job posting, your Job Discovery titles and filters, your apply profile and the form’s questions, is sent to the AI model provider we have chosen to run Hiresweep’s hosted AI.
  • Job boards. Job Discovery reads the public job lists that companies publish through their hiring systems (such as Greenhouse, Lever, Ashby, Workday and SmartRecruiters) and the open job feeds of job sites (Remote OK, We Work Remotely, Himalayas, Jobicy and Arbeitnow), from the same feeds and careers-page endpoints anyone can read. We fetch each whole list without saying who it is for, and pick the matching jobs on our own side, so these systems receive nothing about you: not your resume, your name, your job titles or your filters. Job Discovery also searches the Adzuna and USAJOBS job-search services, which can only be searched by keyword: they receive the job titles and places you search for, and nothing else about you (not your resume, your name or your account).
  • Employers you apply to. When you apply to a job through Hiresweep, the information on the application, including your resume and answers, is entered into and submitted to that employer’s application system (for example Greenhouse, Lever, Ashby or Workday). The employer and its application system then handle that information under their own privacy policies. We only send an application to an employer when you instruct us to, either by pressing Submit or by turning on automatic submission in your apply profile.
  • Payment processing. Stripe and Autumn receive the information needed to bill you, such as your name, email address and payment details.
  • Service providers. We use providers for hosting, databases, file storage, email delivery, running job searches, and the server-side browser that fills application forms. They process data only on our behalf and under our instructions.
  • Sign-in providers. If you sign in with Google, GitHub, LinkedIn or another provider, that provider learns that you signed in to Hiresweep.
  • Fonts. Some resume fonts are loaded from Google Fonts and jsDelivr, which receive your IP address and browser information when a font is downloaded.
  • Apps you connect. If you create an API key or connect an AI assistant to your account (for example over MCP), that app can read and change your Hiresweep data as you allow it.
  • Legal and safety. We may disclose information if required by law, or to protect the rights, safety or property of our users, the public or Hiresweep.
  • Business transfers. If we are involved in a merger, acquisition or sale of assets, your information may be transferred as part of that deal, and this policy will continue to apply to it.

How applying works

Hiresweep can fill application forms in two ways. In both, it acts only on your instruction.
  • On our servers. A browser running on Hiresweep’s servers opens the employer’s form, fills it with your resume and apply profile, and waits for you to review it and press Submit, unless you have turned on automatic submission.
  • In your own browser. With the extension, the form opens in a tab in your browser and the extension fills it there. The extension refuses to press a submit button unless you pressed Submit in Hiresweep.
Once an application is submitted to an employer, we cannot recall it or delete it from the employer’s systems.

Cookies

We use cookies that the Service needs to work: a session cookie that keeps you signed in, cookies that remember access to password-protected resumes, and cookies that remember your preferences such as theme, language and layout. We do not use advertising or third-party tracking cookies.

How long we keep information

We keep your account data, resumes, job postings, applications, job searches, client records and AI conversations for as long as your account exists, or until you delete them. Approval links stop working when they expire. Sessions expire, and verification codes are short-lived. Server logs are kept only as long as needed for security and debugging. When you delete your account, we delete your account, resumes, uploaded files, job postings, applications, application records, job searches and their results, client records, approval requests and AI conversations, and we delete your customer record at our payment processor, which also cancels any active subscription. Copies in backups are removed as the backups expire. We may keep limited records where the law requires us to, such as payment records held by Stripe for tax and accounting.

Security

We protect your data with encryption in transit (HTTPS), hashed passwords, access controls, and optional passkeys and two-factor authentication. No service is perfectly secure, so please use a strong, unique password and turn on two-factor authentication.

Your rights and choices

You can view, edit, export and delete your resumes at any time, change your account details in Settings, and delete your whole account from Settings. Depending on where you live, you may also have the right to:
  • access the personal information we hold about you and get a copy of it;
  • correct inaccurate information;
  • delete your information;
  • object to or restrict certain processing, or withdraw consent you have given;
  • receive your information in a portable format;
  • complain to your local data protection authority.
If you are in the European Economic Area, the United Kingdom or Switzerland, we process your information to perform our contract with you (providing the Service you signed up for), based on our legitimate interests (keeping the Service secure and improving it), to comply with legal obligations, and with your consent where we ask for it. If you are a California resident, you have the right to know what personal information we collect and how we use it, to delete it, to correct it, and to not be discriminated against for using these rights. We do not sell or share personal information as those terms are defined under California law. To use any of these rights, email us at support@hiresweep.com. We may need to verify your identity first, and we will respond within the time the law requires.

International transfers

We are based in the United States, and our service providers may process information in the United States and other countries. Where the law requires it, we use appropriate safeguards, such as standard contractual clauses, for these transfers.

Children

Hiresweep is not meant for children under 16, and we do not knowingly collect personal information from them. If you believe a child has given us personal information, contact us and we will delete it.

Changes to this policy

We may update this policy from time to time. If we make significant changes, we will let you know by email or in the app before they take effect. The effective date at the top always shows the latest version.
